UI/UX Specialist — Product Design & Figma

We are seeking a UI/UX Specialist to join our internal development team and take responsibility for translating product requirements into clear, intuitive, and visually polished user interfaces.

Position Overview

We are seeking a UI/UX Specialist to join our internal development team and take responsibility for translating product requirements into clear, intuitive, and visually polished user interfaces.

The UI/UX Specialist will work closely with the Department Head, Lead Developer, and development team throughout the application development process.

The Lead Developer will create the Product Requirements Document (PRD) based on business requirements and technical considerations. The UI/UX Specialist will then use the PRD to develop the visual design, user interface, workflows, Figma designs, prototypes, and appropriate animations or interactions needed to communicate how the finished application should look and behave.

The completed design package will then be handed off to a developer for implementation.

This position is focused primarily on product design, UI/UX, visual communication, prototyping, and user experience rather than software development. The candidate does not need to be a full-stack developer.

The ideal candidate is someone who can take a written product requirement and turn it into a design that is clear, intuitive, attractive, practical, and ready for development.

This position is primarily in-office, with some flexibility for occasional remote work. It is not intended to be a fully remote position.


Key Responsibilities

Product Design

  • Review and understand Product Requirements Documents (PRDs) prepared by the Lead Developer.
  • Work with the Department Head and Lead Developer to understand the purpose, goals, and intended users of a project.
  • Translate functional requirements into intuitive user experiences.
  • Determine how users should navigate through an application or feature.
  • Design screens, workflows, navigation, forms, dashboards, and other interfaces.
  • Identify areas where requirements may create unnecessary complexity for the user.
  • Ask questions and clarify requirements before beginning detailed design work.
  • Develop design solutions that balance usability, aesthetics, business requirements, and technical feasibility.

Figma Design

Figma will be a primary tool for this position.

Responsibilities include:

  • Create detailed application designs in Figma.
  • Develop screen layouts and complete user interfaces.
  • Create reusable components and design patterns.
  • Develop interactive prototypes.
  • Create responsive designs for different screen sizes where appropriate.
  • Organize Figma files so developers can easily understand and use them.
  • Maintain consistent spacing, typography, colors, components, navigation, and interaction patterns.
  • Provide developers with the visual information necessary to accurately implement the design.
  • Update designs as requirements change during development.

The goal is to provide the developer with a clear visual blueprint for the application.

Prototypes & Animations

The UI/UX Specialist may create animations, transitions, and interactive prototypes to demonstrate how the application should behave.

Responsibilities may include:

  • Creating interactive Figma prototypes.
  • Demonstrating navigation and user workflows.
  • Designing transitions between screens.
  • Demonstrating hover, click, loading, and error states.
  • Creating subtle animations and micro-interactions.
  • Communicating how interactive elements should behave.
  • Using animation where it improves usability or communicates functionality.

Experience with animation or motion-design tools is a plus.

Potential tools may include:

  • Figma
  • FigJam
  • Adobe After Effects
  • Lottie
  • Principle
  • ProtoPie
  • Framer
  • Other prototyping or animation tools

The candidate does not need to be an expert in every tool.

Working From the PRD

The UI/UX Specialist will work from the PRD created by the Lead Developer.

The process will generally be:

  1. Review the PRD.
  2. Understand the business problem and intended user.
  3. Identify the required screens, workflows, and functionality.
  4. Ask questions or identify ambiguities.
  5. Develop wireframes or initial concepts.
  6. Create the Figma design.
  7. Develop interactive prototypes where appropriate.
  8. Review the design with the Department Head and Lead Developer.
  9. Refine the design based on feedback.
  10. Prepare the final design for development.
  11. Hand the design package off to the developer.
  12. Work with the developer during implementation to answer design questions and clarify intended behavior.
  13. Review the completed application to ensure the implementation matches the approved design.

Developer Handoff

A major responsibility of this position is producing designs that developers can actually build.

The UI/UX Specialist should provide:

  • Complete screen designs.
  • User flows.
  • Interactive prototypes where appropriate.
  • Component specifications.
  • Responsive behavior.
  • Interaction states.
  • Error and validation states.
  • Loading states.
  • Empty states.
  • Relevant animation or transition specifications.
  • Design assets.
  • Clear annotations when necessary.

The candidate should be comfortable working with developers and understanding that a beautiful design is only useful if it can be effectively implemented.

Collaboration With the Lead Developer

The UI/UX Specialist will work closely with the Lead Developer throughout the project.

The Lead Developer will generally own:

  • Technical architecture.
  • PRD creation.
  • Backend requirements.
  • Database requirements.
  • API requirements.
  • Technical feasibility.

The UI/UX Specialist will generally own:

  • User interface design.
  • User experience.
  • Screen layouts.
  • Navigation and workflows.
  • Visual design.
  • Figma prototypes.
  • Interaction design.
  • Design consistency.

The two roles will collaborate to ensure the final product meets both business requirements and technical requirements.

Collaboration With the Department Head

The Department Head will provide business and operational context.

The UI/UX Specialist should be able to:

  • Understand department-specific workflows.
  • Ask questions about how employees or customers currently perform tasks.
  • Identify opportunities to simplify workflows.
  • Present design concepts to department leadership.
  • Explain design decisions in practical terms.
  • Incorporate appropriate stakeholder feedback.
  • Balance user needs with department requirements.

The UI/UX Specialist should not simply take direction on colors and layouts. They should be able to contribute meaningful recommendations about how the user should interact with the application.

Design Systems

The UI/UX Specialist will help establish and maintain consistent design standards across applications.

Responsibilities may include:

  • Creating reusable Figma components.
  • Developing design systems.
  • Establishing consistent UI patterns.
  • Maintaining component libraries.
  • Standardizing forms, tables, buttons, navigation, alerts, menus, and other interface elements.
  • Maintaining consistent typography, spacing, colors, and visual hierarchy.
  • Ensuring designs across different applications feel like part of the same overall platform.

User Experience

The candidate should understand the principles of good UX and be able to apply them to business applications.

This includes:

  • User flows.
  • Navigation.
  • Information architecture.
  • Forms.
  • Data entry.
  • Dashboards.
  • Search.
  • Filtering.
  • Tables.
  • Notifications.
  • Error handling.
  • Confirmation workflows.
  • User feedback.

Many of our applications may involve significant amounts of business, financial, operational, or analytical information.

The candidate should understand that a design may need to change rather than simply shrink when moving between desktop and mobile.

Accessibility

The candidate should understand basic accessible design principles, including:

  • Clear focus states.
  • Accessible forms.
  • Logical navigation.
  • Appropriate typography.
  • Screen-reader considerations.

Accessibility should be considered during the design process.

Technical Understanding

The UI/UX Specialist does not need to be a software developer, but technical knowledge is highly beneficial.

Design Review & Implementation

The UI/UX Specialist will remain involved after the design is handed to the developer.

Responsibilities may include:

  • Answering developer questions.
  • Clarifying design intent.
  • Reviewing implemented screens.
  • Identifying differences between the approved design and the finished application.
  • Recommending corrections when appropriate.
  • Reviewing usability of the completed feature.
  • Working with the Lead Developer and developer to resolve design or implementation issues.

The role is therefore involved in the project from PRD review through final implementation, rather than ending when the Figma file is delivered.
